PRIVACY POLICY — CONTRACTOR ACCOUNTS

This policy covers information we hold about CONTRACTORS — the businesses that register for an account at nichollshomeleads.com to receive leads.
It does not cover homeowners who submit requests through our consumer websites. Those sites carry their own privacy policy, and the information a homeowner gives there is governed by it.

1. Who we are
Ironwood Digital LLC is an Ohio limited liability company. Nicholls Home Leads is the trading name under which we operate the contractor service. We are the controller of the information described here.

2. What we collect from you
At signup:
— your business name, and a contact name where you give one;
— your business email address and phone number;
— your business street address;
— a password, which is stored only as a hash by our authentication provider and is never visible to us.
When you accept our terms or give SMS consent:
— which version you accepted, the exact wording shown to you, the date and time, your network (IP) address, and your browser's user-agent string. These are kept as evidence of agreement and cannot be altered afterwards.
As you use the service:
— the ZIP codes and service types you select, any weekly budget and pause settings, and any delivery phone number or email address you set as an override;
— the leads routed to you, when each was delivered, on which channel, and whether delivery succeeded;
— amounts charged, credits applied, and disputes you raise.
Automatically:
— standard server and error logs, which may include your IP address, the pages requested, and technical fault details when something breaks.
We do not collect your card number. Card details are entered directly with our payment processor and we never receive or store them; we hold only the processor's reference and the last four digits it reports back.
3. Why we use it
To operate your account: to register you, authenticate you, match leads to your coverage, and deliver them.
To contact you: lead notifications by text message and email, and account, billing, and service messages by email.
To bill you: to calculate weekly charges, apply credits, and take payment through our processor.
To keep records: to evidence which terms and disclosures you agreed to, and when.
To run and protect the service: to detect duplicate registrations, investigate faults, prevent abuse, and meet our legal obligations.
We do not sell contractor information. We do not share it with other contractors. We do not use it to build or enrich any dataset offered to anyone else.
4. Who we share it with
Service providers who process information on our behalf, under contract, and only to provide their service to us:
— our hosting and database provider, which stores your account data;
— our payment processor, which handles your card and takes payment;
— our email provider, which delivers lead notifications and account email;
— our SMS provider and the mobile carriers, which deliver lead notification texts;
— our error-monitoring provider, which receives technical fault reports.
These are service providers acting on our instructions, not third parties receiving information for their own use. Your mobile phone number carries a further restriction on top of this — see section 5, which governs it.
Homeowners, to the limited extent that a homeowner you contact will know your business name and contact details — that is the point of the introduction. We do not give a homeowner your mobile number unless it is the business number you have published to them yourself.
Others, where we are required by law, where we need to establish or defend a legal claim, or in connection with a merger, acquisition, or sale of assets.
5. Text messaging and your mobile number
This section governs the mobile number you give us and the text messages we send to it. Where anything else in this policy could be read more broadly, this section controls.
We do not share or sell mobile phone numbers to third parties. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. Mobile numbers are disclosed only to the service providers that deliver messages on our behalf — our SMS provider and the mobile carriers — and those providers may not use the numbers for any purpose other than delivering our messages.
What we send. One kind of text message: a lead notification, telling you a homeowner has requested work matching your coverage. We do not send marketing, promotional, or affiliate text messages.
Message frequency varies by lead volume in your service area.
Message and data rates may apply.
Reply STOP to any message to opt out. Reply HELP for help. Reply START or UNSTOP to resume messages after opting out. STOP is handled by the mobile carrier network and takes effect whether or not our systems are reachable.
You may also stop texts without using the keyword, by removing your delivery number in your account settings or by emailing us at the address in section 1.
Consent to receive these messages is given at signup, separately from our terms of service, and is never a condition of holding an account. Opting out stops the texts; it does not close your account or stop leads routing to you, and those leads will still arrive by email. Our SMS Terms describe the programme in full.
6. Homeowner information we send you
Leads we deliver contain another person's personal information. Once we deliver it, you are responsible for it.
Under section 4.3 of the Contractor Terms of Service you may use it only to contact that homeowner about the service they requested and to perform work they engage you to do. You must not sell it, share it, add the homeowner to any unrelated marketing list, or keep it without reasonable security.
If a homeowner asks you to stop contacting them, stop, and tell us so we can record it.
7. How long we keep it
Account records for as long as your account is open, and after it closes for as long as we need them to settle amounts owed, meet tax and accounting obligations, and defend potential claims.
Consent and terms-acceptance records for as long as we may need to evidence your agreement. These are append-only by design and are not edited or deleted in the ordinary course.
Billing records for the period required by tax and accounting law.
Server and error logs for a short operational period.
Where we no longer need information for any of these purposes, we delete it or stop associating it with you.
8. Security
Account data is held in access-controlled systems, and the tables holding contractor records are closed by default so that only our own server processes can read them. Passwords are hashed by our authentication provider. Card details never reach our systems.
No system is perfectly secure. If information about you is disclosed, lost, or accessed without authorisation in a way that presents a real risk to you, we will tell you.
9. Your choices and rights
Update your details: your delivery phone number, delivery email, coverage, budget, and pause state are editable in your dashboard at any time. For your business name, address, or account email, email us.
Stop text messages: reply STOP to any message, remove your delivery number in settings, or email us. Section 5 and our SMS Terms set out what opting out does and does not stop.
Close your account: you may close it at any time from your dashboard. Closing stops routing; it does not erase records we are required to keep, including consent evidence and billing history.
Access, correction, and deletion: email us and we will respond. Some records — consent evidence, billing history — we may be required to retain even after a deletion request, and we will tell you when that applies and why.
This is a business-to-business service and the information we hold is business contact information. Rights available to consumers under state privacy laws may not apply to it; where they do apply, we will honour them.
10. Other things worth stating plainly
We do not knowingly collect information from anyone under 18. This is a service for businesses.
Our systems are operated in the United States and the information described here is stored there.
We do not respond to browser Do Not Track signals on the contractor surface.
We may revise this policy. Each version is retained, and we will tell you through your account or by email before a material change takes effect.
